1. SCOPE
Backoffis requires personal information of its clients so that it is able to provide professional accounting services. This policy applies to Backoffis’ clients and prospective clients.
2. PURPOSE
Backoffis collect, hold, use and disclose personal information:
- (a) to provide accounting, bookkeeping, payroll, audit support services, decision support and management information services;
- (b) to communicate with clients;
- (c) to obtain third party services as contemplated under relevant terms of engagement;
- (d) where we are required to do so by law; and
- (e) for other reasons to ensure the efficient operation of Backoffis.
3. DEFINITIONS
Knowledge Processing Centres are Backoffis’ third party service providers located in India.
Personal information is information or an opinion, whether true or not, and whether recorded in material form or not, about an identified individual or an individual whose identity is reasonably apparent, or can be determined, from the relevant information or opinion.
Sensitive information is a type of personal information. It includes information or opinion about an individual’s racial or ethnic origin, political opinions, membership of a political association, religious beliefs or affiliations, philosophical beliefs, membership of a professional or trade association, membership of a trade union, sexual preference or practice, or criminal record. Sensitive information also includes biometric information that is used for the purpose of automated biometric verification, biometric identification or biometric templates.
4. COLLECTING PERSONAL INFORMATION
Backoffis collects personal information from its clients so that it can provide professional accounting services. The information is collected for the purpose of undertaking professional services and to allow for the flow of information between Backoffis and its Knowledge Processing Centres.
As a visitor to the Backoffis website, an individual does not have to submit any personal information, unless they voluntarily choose to do so. The Backoffis website records normal statistical information of those who access it (server address, domain, date and time of access, pages/documents viewed, previous site); this information will not be used to identify users or their browsing activities, unless Backoffis is required to do so by law.
5. HOLDING PERSONAL INFORMATION
Backoffis holds the personal information of its clients and the personal information of individuals that its clients disclose to them. Backoffis only holds relevant information.
Backoffis have in place commercial standards to ensure the security of the information they hold.
6. USE OF PERSONAL INFORMATION
Backoffis use the personal information of individuals to provide agreed professional services to its clients. This use of personal information enables Backoffis to provide professional services including accounting, bookkeeping, payroll, audit support services, decision support and management information services to its clients.
7. DISCLOSURE OF PERSONAL INFORMATION
Personal information is only disclosed to third parties to support the delivery of services for which Backoffis have been engaged, or where Backoffis are required to do so by law.
7.1 Overseas Disclosure
In the delivery of its professional services, Backoffis may disclose information to the Knowledge Processing Centres in India. When disclosing personal information of its clients Backoffis takes all reasonable steps to ensure that the Knowledge Processing Centres comply with the APPs.
8. QUALITY OF INFORMATION AND SECURITY
Backoffis aims to ensure the secure handling of the personal information of its clients. Backoffis has taken steps and precautions to protect its client’s personal information from loss, misuse, unauthorised access, modification or disclosure.
The Knowledge Processing Centres utilised by Backoffis are ISO 27001:2005 and ISO 9001:2008 compliant.
9. ACCESS TO PERSONAL INFORMATION
Individuals have a right to request access to their personal information and to request its correction. Access to records of personal information that Backoffis holds, or concerns about the accuracy of information held by Backoffis should be directed to the Privacy Officer.
Under the Act, an individual has the right to obtain access to personal information which Backoffis holds about them; there are exceptions to this, for example, where access may impact the privacy of others or pose as a threat to the individual.
To make a request to access or correct personal information, Backoffis requires a request in writing. Backoffis will respond to this request within a reasonable period of time. Where it is reasonable, Backoffis will provide access in the manner requested. Backoffis may charge a fee to provide access to the personal information, however, will not charge for the request for access.
If a request for access is refused, Backoffis will provide written reasons on why the request was refused and how to make a complaint if the individual is not satisfied with the response provided.

10. COMPLAINTS
If an individual believes that Backoffis has breached the APPs a complaint can be made to the Privacy Officer.
All complaints should be in writing and directed to the Privacy Officer. Backoffis will investigate complaints in a timely manner and respond in writing.
